How to archive emails in Gmail?

You can archive completed conversations or all emails from a specific sender or with a particular keyword. Archived emails don’t appear in your primary inbox as Gmail moves them to the All Mail folder. 

What is the difference between deleting and archiving details?

When you delete an email from your Inbox, Gmail moves the email to the Trash folder. It remains in the Trash for the next 30 days. After that period, Gmail will permanently delete it from your account.

On the other hand, if you archive an email, it remains on your Gmail account, but the email doesn’t appear in the Inbox folder. You can navigate to the All Mail folder and identify archived emails, as they won’t have an Inbox label before the email subject.

How to view archived emails on Gmail?

In the Gmail search bar, type in:archive and press Enter. It will only show the archived emails of your account. You can unarchive archived emails anytime.

How to archive a single email in Gmail?

Visit the Gmail website on a web browser and log in to your account. Move your mouse cursor above the email’s subject if you are in your Inbox folder. 

Click on the archive icon.

Some icons will appear on the screen; click on the Archive icon, and it will archive the email immediately. 

Undo Archive

A pop-up will appear on the bottom left corner that says Conversation archived. Click on the Undo button if you mistakenly archived an email. 

If you are inside the email you want to archive, there’s an archive icon at the top toolbar above the email title. Click on it, and it will archive the email. 

On the mobile app, launch the mobile app and swipe right to an email to archive the conversation. You can see a pop-up at the bottom saying 1 archived. Tap on Undo to stop archiving that email. 

How to archive multiple emails on Gmail?

If you are cleaning up your Inbox folder, you can select multiple emails and archive them in a single click. It works on both the mobile app and the web version. 

Open a web browser and go to the Gmail website. Click on the checkbox beside all the emails you want to archive.

Now click on the Archive icon from the toolbar, and all selected conversations will be archived. You can undo this action by clicking the Undo button within a few seconds.

Archive emails using a filter in Gmail?

You can create a filter that archives specific emails instead of your primary Inbox. First, open the Gmail website on a web browser and log in to your account.

Click on the Show search options icon beside the search box. It will show a pop-up with various options.

Enter the email in the Form field to filter emails from a specific address. You can filter emails by subject, particular words, attachments, etc. After inserting the criteria, click on Create filter

In the Gmail search bar, type in:archive and press Enter. Open the archived conversation from the search results. If you use a web browser, click the Move to icon from the toolbar and select Inbox.

How to delete archived emails?

You can get rid of all archived emails from your Gmail account. It will take a little time if you know how to find them. 

Go to Gmail from a browser, and in the search box, type in:archive and press Enter. Click on the Select icon, and it will select all archived emails. If you have more than 50 emails, click on Select all emails. Then click on Delete from the toolbar.
